# Why didn't it match?

> The rules TaxLayer uses to pair payments, documents and myDATA records

TaxLayer groups records into clusters: one real-world transaction seen from up to four sources (your document, your bank, AADE, your books). These are the rules. When something stays unmatched, one of them is usually why.

## Document ↔ myDATA record

Joined when they share the same supplier ΑΦΜ, series, number and invoice date, or when you uploaded the document from an *AADE has it* row. A sales record is never joined to a purchase document.

## Payment out ↔ purchase invoice

* The amounts must be **exactly** equal, to the cent. A bank fee taken off breaks the match.
* The invoice date must be between **62 days before** and **5 days after** the bank date.
* The invoice must not already have a payment, and must be on the same client as the statement.
* There must be **exactly one** candidate. Two invoices for the same amount in the window → neither is matched.

## Receipt in ↔ sales invoice

* Amounts within **€0.01**.
* Same date window (62 days before to 5 days after).
* Cancelled invoices are never matched.
* Several candidates: the one whose MARK or series-number appears in the bank reference wins; otherwise nothing is matched.
* If an equal and opposite bank line exists within 14 days, it's treated as a bounced payment and not matched.

## Books (ERP) entries

Match on ΑΦΜ, amount within €0.50 and date ±5 days, only when exactly one fits.

## ΑΦΜ and names

Spaces, dashes and a leading *EL* are ignored. Leading zeros are **not** — *012345678* and *12345678* don't match. Company names are compared without punctuation and without the legal-form words (ΑΕ, ΕΠΕ, ΙΚΕ, ΟΕ, LTD, SA…).

## Partial payments, instalments, one payment for several invoices

These are never matched automatically. TaxLayer suggests them as a row ending *Is that right?* and you confirm with **Yes, that's right**:

* **Short or over payment** — one receipt between 50% and 110% of the invoice that names the invoice. A 0.1–2% shortfall is treated as a bank fee.
* **Instalments** — 2 or 3 receipts adding up to one invoice within €0.02.
* **One payment, several invoices** — one receipt equal to 2 or 3 open invoices within €0.02.
* **Withholding** — a receipt equal to the invoice less declared withholding, within 90 days.

## Credit notes and cancellations

A credit note is linked to the invoice it names; nothing is netted off automatically. A cancelled invoice is never matched to a payment and is dropped from *AADE has it, you have no copy*.

## The grace period

For **21 days** after an invoice date, a missing payment or a missing AADE filing is *too early to chase* and sits under **Nothing needed**. After that it becomes an exception.

## Checklist when an item won't match

1. Do the amounts differ at all (money out) or by more than €0.01 (money in)?
2. Is the bank date more than 62 days after, or more than 5 days before, the invoice?
3. Are there two invoices for the same amount in that window?
4. Does the invoice already have a payment?
5. Is the statement on a different client from the invoice?
6. Is the ΑΦΜ written differently (missing leading zero, foreign prefix on one side)?
7. Is it a credit note, or cancelled in myDATA?
8. Is it a partial or multi-invoice payment? Look for a suggestion row.
