Every invoice and receipt you give TaxLayer is read automatically: supplier or customer, VAT number, date, net, VAT and total. You check the result; you don’t type it.

Three ways in

See WhatsApp scanner and Email inboxes.

Uploading

  1. Open Documents in the sidebar and press Upload.
  2. Drag files onto Drag and drop your documents here, or click to browse. Firms can pick a client first, or leave Let TaxLayer match the client automatically.
  3. Press Start AI Parsing.
  4. Each file shows a result: its status, Split into 3 invoices if one file held several documents, or Duplicate of #1234 if you already uploaded it.
The Upload window with the drop zone and Start AI Parsing
Accepted files: PDF, PNG, JPG, JPEG, TIFF, up to 20 MB each. A file with several documents in it is split automatically; only the first 20 pages are read.
The upload window also lists CSV, XLSX and DOCX. Those are refused by the server — use PDF or an image. Spreadsheets from your accounting system go to Books & ledgers instead.

What happens next

Documents move through statuses as they are read. Most go from upload to Ready in under a minute. Review needed means something didn’t read cleanly — open the document, check the Errors tab, fix what it asks for and press Resolved. Once read, a document lands in a group on the Documents page — Review, Awaiting payment, Paid or Other. See The Documents page.

Fixing what was read

Open a document. The Data tab shows the parties, document details, totals and line items. Hover a field and press Edit to correct it. A value marked from myDATA couldn’t be read from the file and was filled from the matching AADE record.

Duplicates

TaxLayer refuses the same file twice and flags the same document arriving a second time (same supplier, number and total, or the same myDATA MARK). Duplicates appear in the Review group with Duplicate on them.

Free plan limit

The Free plan processes 10 documents in total (bank statements count). Past that, uploads are kept but not read, and show Over your plan’s limit. They are processed automatically when you upgrade.
